Capmo AI combines modern language models (LLMs for short) with an intelligent search — a so-called RAG process (retrieval-augmented generation). This means that before an answer is generated, the AI specifically searches for relevant information in the available project data. For more complex inquiries, this is done in several steps — with access to various data sources within Capmo. The content found is analyzed, processed and summarized as a concise answer — including a reference to the underlying source.
Capmo AI helps you get answers to project-related questions faster — without having to manually search through tickets, documents or construction diary entries. In addition to classic search queries, cross-departmental data reconciliation is also possible — for example when analyzing the effects of new defect tickets on ongoing processes in the construction schedule. The best results are achieved with fully formulated inquiries that are clearly related to the project — comparable to a question to a colleague. Instead of individual keywords, as in a Google search, it is recommended to use entire sentences. The more precisely the question is asked, the more targeted and comprehensible the answer is. If a specific area such as the construction diary, tickets or the list of services is mentioned, the AI can access the relevant data in a targeted manner. Requests can also include format requests — for example: “Visualize the results as a table” or “Summarize the points in a nutshell.”
In contrast to classic AI applications, Capmo AI first searches specifically for relevant information in the project data before creating an answer. As a result, the answers are not based on general assumptions, but on specific, project-related data. Each response also includes a reference to the underlying source (such as a ticket or construction diary entry) so that the information can be easily verified as needed. Note: Even though the AI usually works reliably, we recommend that you always briefly check the specified source — especially when making important decisions. This gives you full control at all times.
Two criteria must be met:
The Capmo AI and the document management module have been activated. The AI function is only available if both Capmo AI and the document management module have been activated for the company account of the respective project. The user has the appropriate access rights in the project. “Employee” role: This user role has access to Capmo AI by default. “Guest” role: Users with the “Guest” role can use Capmo AI if they have the following rights in the respective project: Tickets: Read access to all tickets (“Can see” = “All”). Read-only access to “assigned” is not enough. Construction journal: At least reading rights (“View” or “Create/Edit”). Documents: Access to all documents (not just approved ones). Optional - construction schedule: If the user has no rights for this area, Capmo AI can be used, but in this case it cannot access the construction schedule.
Capmo AI only accesses project data that the corresponding user within a project also has access to. These currently include tickets (without attachments and comments), construction diary entries, construction schedules, project master data and documents. Supported document types include text content (including handwritten ones) in PDFs, email files (.msg/.eml), and image files. Metadata such as folder name, file type, upload and modified dates, and file size are also taken into account. The AI can analyze up to 3 million characters per document, which corresponds to around 1,000 to 1,100 A4 pages.
AI access is both project-based and role-based. This means: The AI takes into account the permissions of the respective user and only displays content that they are also likely to see in the Capmo system. There is no access to company-wide or non-project data.
The AI is not yet able to access the Capmo “Photos”, “Plans & BIM” and “Meetings” modules. Even Excel and Word files cannot currently be read — but these functions are already being planned. If content such as meeting minutes is available as a PDF in the “Documents” area, Capmo AI can access it.
Yes, your data is safe. Capmo AI respects user access rights and only accesses project-related information for which you are authorized. In addition, the AI solution — as with all other Capmo products — has high safety standards. For more information, see capmo.com/privacy.
Your data is not used to train AI models — neither by Capmo itself nor by third parties. Capmo AI uses your data exclusively to answer your specific request. All information remains within the Capmo infrastructure and is processed in accordance with European data protection standards. They are expressly not used for training purposes, as may occur with some freely available AI services.
The decisive difference between Capmo AI and general AI tools such as Microsoft Copilot or ChatGPT lies in data access: Capmo AI can access the complete construction documentation in the Capmo Cloud and thus provide answers that are directly based on the respective construction project. These include, for example, tickets, construction diary entries, construction time plans as well as PDF and e-mail documents. In contrast, tools such as ChatGPT or Microsoft Copilot have no or only very limited access to this project-specific information. As a result, they can only make general statements without referring to the actual conditions on the construction site. A powerful AI model alone is not enough — without access to the specific project data, there is no basis for precise and reliable results. In addition, all data processed by Capmo AI is not used to train AI models. They remain exclusively within the EU and are therefore subject to high data protection standards — in contrast to many other freely available AI services.
The Capmo AI itself is based on OpenAI's models. Depending on the application, the appropriate model is used to ensure an optimal balance between response speed and quality of results. In most cases, the GPT-4.1 model is currently used. All data processing is carried out securely in Europe — via Microsoft Azure.
